The Institution

The Los Rios Community College District is a two-year public college district serving the greater Sacramento region. Our district includes American River, Cosumnes River, Folsom Lake and Sacramento City colleges; major centers in Placerville, Davis, West Sacramento, Elk Grove, Natomas and Rancho Cordova; and special services for business and industry.

Our colleges offer transfer education – students complete freshman and sophomore years and transfer to a four-year college or university – and AA/AS degrees and certificates in over 70 career fields. The District’s 2400 square mile service area includes Sacramento and El Dorado counties and parts of Yolo, Placer, and Solano counties. Approximately 75,000 plus students are enrolled in our four colleges and outreach centers.

The District office houses a number of district-wide services. These include the Chancellor’s office, Board Room, Legal Services, Business Services, Human Resources, Institutional Research, District Police Department, Resource Development and Information Technology. Other district-wide services which can be found at various locations around the community are the, Facilities Management Department and the Workforce and Economic Development Center. Each department strives for the highest quality in all programs, services, and activities for our communities and staff.

Position Summary

Positions in this class are usually found as administrative assistants to Vice Presidents or District Office Director I’s. Incumbents perform complex and varied administrative assistant and clerical work under limited supervision of the assigned manager within a framework of standard policies and procedures. Extensive knowledge of the District-wide and college-wide scope of the office to which the position is assigned is necessary as well as the exercise of independent research, knowledge, and judgment. Coordination of office activities has college-wide significance. Reports, documents, and records prepared and maintained by incumbents are often of a confidential nature. Contact with non-District persons, agencies, and organizations requiring tact and diplomacy is frequent. This job class is responsible for coordination of a number of program areas. There may be lead responsibilities for classified employees and student aides, as well as need for independent judgment in resolving routine problems.

Assignment Responsibilities

● Assists administrator with office organization and detail and recommends operating practices and procedures to create new or to revise existing methods.
● Answers inquiries concerning college and District activities, policies, or programs, and refers inquires to appropriate information sources.
● Provides information about college standards and procedures and assists in the coordination of services for students, staff, and the public; explains administrative, unit, and college operating policies and procedures for students, faculty, and staff.
● Delivers messages and runs errands.
● Coordinates appointments with other offices for staff, faculty, and students; coordinates office activities with other District offices.
● Compiles and prepares Federal, State and District reports; compiles statistical data including budget requests and account balances; monitors budgets; and may collect and account for funds posting to sub ledgers.
● Assists with the preparation of department budgets; assists in preparing material for published class schedules and registration; and compiles and prepares sections of college catalog for printing.
● Schedules and plans staff meetings, conferences and appointments; prepares agendas; takes minutes at meetings, exercising judgment in editing and composition.
● Sets up and maintains files and records of confidential and technical information.
● Maintains accurate records, mailing lists, files and inventory of equipment.
● Processes absence reports.
● Prepares correspondence, memoranda, reports and other materials; resolves problems with vendors; and prepares records and reports including monthly reports for District and external agencies.
● Operates and maintains office machines, such as copier, fax, network printer, scanner, shredder, ten-key calculator, and computer.
● Orders materials, supplies, services, and repair people.
● Processes outgoing and incoming mail, packages, and other materials.
● Composes correspondence, memoranda or e-mails, computes, records, and proofreads data and other information, such as records or reports.
● Copies, sorts, and files documents, records, and reports; and makes appointments and maintains calendars for Vice President or District Office Director.
● Coordinates interviewing process for candidates for certificated vacancies on campus; interviews, trains, and oversees the work of and temporary clerical employees and student assistants.
● Handles complaints from faculty and students, referring them to appropriate staff members.
● Prepares tentative class schedules and contracts for evening college and summer session instructors.
● Prepares time sheets, reports and preliminary payroll records; verifies FTEs; and provides technical assistance to division offices on calculations of faculty loads.
● Prepares materials for presentations and instruction.
● Assists with curriculum and catalog revisions; and processes travel forms and equipment requests.

Special Requirements
Minimum Qualifications

Type 40 nwpm. Typing test/certificate required.

EXPERIENCE: Two years of administrative assistant experience equivalent to the level of Administrative Assistant I with the District.

Promotional: One year of experience with Los Rios CCD performing clerical duties at the level of Administrative Assistant I or equivalent. (Promotional applies to regular, current Classified employees working with the Los Rios CCD.)

EDUCATION: Administrative assistant and clerical course work preferred; college level business, administrative assistant, clerical or related course work may be substituted on a year-for-year basis for up to one year of the desired administrative assistant/clerical experience.

Have sensitivity to and understanding of the diverse academic socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, including those with physical or learning disabilities as it relates to differences in learning styles.

(Experience Requirement: One year of experience is equal to 12 months of experience at a maximum of 40 hours per week. Applicable part-time experience will be converted to the full-time equivalent for purposes of meeting the experience requirement. Education Requirement: 12 units is equal to 6 months of education; 24 units is equal to 1 year of education.)
